What You’ll Do:
As our Administrative Support Specialist, you’ll play a vital role in ensuring the smooth operation of our daily activities. Your responsibilities will include:
- Effectively manage and organize email communications, prepare reports, and handle general office correspondence.
- Utilize contractor/project management software to efficiently dispatch jobs and technicians, manage invoicing and billing processes, and track work orders and project updates.
- Create, update, and maintain accurate reports and documentation for management review.
- Professionally handle inbound and outbound calls (in both English & Spanish) with clients, vendors, and subcontractors, providing exceptional customer service.
- Assist with scheduling appointments, managing calendars, and ensuring timely follow-ups.
- Provide essential internal administrative support, enabling our field teams to focus on core operations.
- Maintain accurate record-keeping and facilitate timely communication across all teams.
What You’ll Bring:
We’re looking for someone who possesses the following skills and experience:
- Fluency in both English and Spanish (spoken and written) is a must.
- Minimum of 2 years of experience in administrative support, virtual assistance, or office management roles.
- Familiarity with contractor software, CRM systems, or invoicing platforms (training will be provided as needed).
- Exceptional organizational skills with meticulous attention to detail.
- Outstanding communication and active listening skills.
- Proven ability to multitask, prioritize tasks effectively, and work independently with minimal supervision.
- Strong technical proficiency, including experience with Google Workspace, Microsoft Office, and project/dispatch software.
- A professional demeanor, unwavering dependability, and a strong client-service orientation.
Schedule:
This is a part-time position, requiring approximately 25 hours per week, Monday through Friday, from 9:00 AM to 2:00 PM US Pacific Standard Time.
Compensation & Benefits:
We offer a competitive hourly rate of $5-$7 USD per hour, along with HMO coverage after one year of employment.
