Senior Events & Offsite Coordinator – Philippines

We are seeking a dynamic Senior Events & Offsite Coordinator to join our Employee Experience team in the Philippines! You’ll partner closely with our Senior Events Manager to bring Thumbtack’s events and gathering model to life, powering the planning and flawless execution of employee gatherings for our distributed workforce.

As part of our small-but-mighty two-person team in the Philippines, you’ll be the driving force behind the logistics of our events and offsites. This includes everything from sourcing venues and coordinating vendors to providing on-site support, curating food & beverage options, offering programming guidance, and managing post-event wrap-ups. You’ll also keep partners and attendees informed every step of the way.

What You’ll Do:

  • End-to-End Logistics: Coordinate all aspects of event logistics for small, medium, and large-scale gatherings. This includes venue sourcing/holds, contract routing, catering, A/V, travel arrangements, shipping, F&B, and creating detailed day-of schedules. You will consider inter-island travel nuances, seasonality, and permitting requirements, while also ensuring inclusivity and accessibility in your recommendations and plans.
  • Planning Discipline & Systems: Develop and maintain clear planning artifacts (timelines, run-of-show documents, checklists, planning documents, registration processes). Keep stakeholders aligned on milestones and responsibilities. Operate and maintain core workflows/systems (Swoogo, Navan, Ironclad/Coupa) with meticulous data hygiene.
  • Vendors, Invoices & Contracts: Build and manage strong relationships with key vendors. Gather bids and negotiate within established guidelines. Evaluate new venues/vendors with a budget-conscious approach. Review contracts and ensure all contracts, POs, and invoices are processed accurately, on time, and in compliance (Ironclad familiarity a plus).
  • Attendee Communications & Travel: Serve as the primary point of contact for attendee inquiries (via Slack, Jira, etc.), providing customer-first, problem-solving support. Manage travel and registration logistics. Draft and send event communications (invites, RSVPs, reminders, briefs, FAQs). Produce concise post-event recaps and leverage AI to standardize briefs, communications, and run-of-show variations.
  • Onsite Operations: Be the calm, organized, and grounded presence on-site, providing seamless support for events. Manage setup, signage, registration, and troubleshoot any in-the-moment needs with confidence and care.
  • Cross-functional Collaboration: Partner closely with teammates across Employee Experience, People Ops, Communications, and the Executive Admin team. Proactively connect the dots and ensure alignment on timelines, roles, and responsibilities for seamless event execution.
  • Measurement & Improvement: Collect feedback and metrics. Document learnings and contribute to the evolution of repeatable templates and best practices.

What You’ll Bring:

  • Relevant Experience: 3โ€“5 years of experience in events coordination, operations, or hospitality (corporate or agency experience is a plus, as is experience working for a fast-paced, US-based tech company).
  • Organizational Excellence: Impeccable organization and attention to detail. Comfortable juggling multiple timelines and priorities.
  • Operational Rigor: A bias for action and getting things done, along with the ability to stay calm under pressure. You anticipate needs and solve issues before they escalate.
  • Exceptional Communicator: Excellent written and verbal communication skills.
  • Vendor, Events & Budget Fluency: Solid understanding of event, vendor, and budget basics, including quotes, contract routing, POs/invoices, and cost tracking. You make disciplined cost-control decisions and provide clear, ROI-based tradeoff recommendations.
  • Tools & AI Fluency: Proficiency with collaboration, project management, and event tools (Google Workspace, Swoogo, Navan, Coupa, Ironclad). You are eager to adopt new tools that drive automation and efficiency, including AI. You actively use AI to speed research and drafting.
  • Growth Mindset: Eager to learn, take ownership, and contribute to playbooks, templates, and continuous improvement.

This role involves domestic travel within the Philippines approximately once a quarter, with occasional evenings or weekends required for major events.
