Are you a detail-oriented Accounting professional with a passion for providing exceptional client experiences? We’re a thriving CPA firm seeking a talented Client Onboarding Specialist to guide our new clients through a seamless and positive onboarding journey. This is a fully remote, full-time opportunity where you’ll play a vital role in setting the stage for long-term client success.
What You’ll Do: Creating a Smooth Start for Our Clients
As a Client Onboarding Specialist, you will be the first point of contact for our new clients, ensuring a welcoming and efficient transition into our firm. Your responsibilities will include:
- Client Account Setup: Configure client profiles within our internal systems (Client Sheets) with accuracy and attention to detail.
- Data Gathering and Documentation: Proactively collect necessary documents, credentials, and financial data, such as bank access details, payroll system information, and prior-year tax returns.
- Financial Analysis: Analyze Financials, specifically the Balance Sheet and Profit & Loss statements.
- Client Education and Communication: Clearly communicate our firm’s processes, timelines, communication channels, and expectations to new clients.
- Onboarding Progress Management: Track onboarding progress using checklists and update internal dashboards to ensure everything stays on track.
- Proactive Follow-Up: Reach out to clients to obtain any missing information or documentation promptly.
- Form and Template Preparation: Prepare onboarding forms and templates for review by the Onboarding Manager.
- Scheduling and Coordination: Assist with scheduling client onboarding calls and meetings.
- Secure Document Management: Maintain secure digital filing systems and ensure all client documents are properly stored.
- Administrative Support: Provide support with data entry, document formatting, and other administrative tasks.
- Process Improvement: Actively contribute to process improvement efforts and suggest workflow enhancements to optimize the onboarding experience.
Is This You?
We’re looking for someone who is:
- Experienced: Minimum of 4 years of experience in an administrative, assistant, or support role within an Accounting environment.
- A Qualified Accountant: You must be a qualified accountant.
- Tech-Savvy: Proficient with Microsoft Office, Google Workspace, QuickBooks, and other common accounting or CRM tools. Adaptable and able to learn new platforms quickly.
- Highly Organized: Proven ability to manage multiple onboarding projects simultaneously and effectively prioritize tasks.
- An Excellent Communicator: Exceptional communication, interpersonal, and customer service skills.

Schedule: Monday to Friday, 8:30 AM โ 5:30 PM New York time (1-hour unpaid break). Must be available to work Eastern Time zone.
