About the Role

As our Customer Billing Specialist, you’ll play a critical role in ensuring our customers’ financial journey with Qwilr is accurate, transparent, and hassle-free. You will be the bridge between our customers and our financial systems, working closely with our Sales, Customer Success, Support, and Finance teams. This is a crucial contract position managing everything from initial invoicing through to payment processing and accounts receivable follow-up.

What You’ll Do

System Management: Take ownership of key financial platforms like Stripe and Chargebee, managing subscriptions, issuing invoices, handling payment arrangements (including direct debit), and monitoring account activity.

Accounts Receivable Oversight: Meticulously track outstanding invoices, generate weekly AR reports, and collaborate proactively with our Customer Success team on customer follow-up to support healthy cash flow.

Customer Support: Be the primary point of contact for billing-related customer inquiries via our dedicated inbox, providing clear, timely, and empathetic responses.

Internal Collaboration: Own the Billing Slack channel, working closely with the Support team to resolve complex billing cases efficiently.

Data Integrity: Ensure seamless data flow between systems by reconciling deals in Hubspot to confirm accurate billing initiation and keeping ChartMogul synchronized for precise SaaS metrics reporting.

Administrative Support: Draft and submit necessary vendor forms for our customers.

What You’ll Bring

We’re looking for a candidate who is:

Articulate & Fluent: Possesses excellent command of English, with strong written and verbal communication skills essential for interacting with customers and internal teams.

Experienced in Finance: Has hands-on experience in billing, Accounts Receivable, or broader finance operations, ideally gained within a SaaS or technology environment.

Tech-Savvy: Familiar and comfortable navigating financial systems and CRMs such as Stripe, Chargebee, and Hubspot (or comparable tools).

Impeccably Organized: Is naturally detail-oriented with exceptional organizational skills – ensuring nothing falls through the cracks is second nature to you.

Empathetic Communicator: Can explain complex billing matters clearly and professionally, always with empathy, particularly in written communication.

Autonomous & Proactive: Thrives in a remote, asynchronous work setting, comfortable taking initiative and managing tasks independently.

Collaborative Team Player: Enjoys working cross-functionally and building strong relationships with colleagues in Sales, Customer Success, and Support.
